Merchant-of-record fee: five-row table, hours rule

Use a five-row cost table and an hours-of-compliance break-even rule to decide whether a merchant-of-record premium saves enough time to justify the fee.

You are deciding whether to pay a merchant-of-record premium. The answer is the hours you stop spending on sales tax, VAT, refunds, and filings, weighed against the fee difference at your revenue level.

The spread is the entry fee

Start with the fee spread, because it is the only part you can see before you sign. Stripe now offers Managed Payments, a merchant-of-record product that is generally available to digital businesses. The merchant-of-record layer adds a 3.5% surcharge above Stripe's normal processing fees. A typical domestic all-in cost is estimated near 6.4% plus $0.30 per transaction, while international all-in cost is estimated between 8% and 10%. Paddle and Lemon Squeezy price each transaction at 5% plus $0.50, with merchant-of-record included. Merchant-of-record platforms can charge 5% to 8% of each transaction.

For a solo SaaS payment stack, the question is whether the premium buys compliance margin or just a higher fee.

Keep a short note: the all-in rate, the premium, and the revenue level where it starts to matter.

The hours are the real cost

Count the compliance hours the premium removes. Stripe Managed Payments takes on global tax responsibility for 75 countries and 35 product categories. Stripe Tax handles tax calculation in over 100 countries and 600 product categories. Compliance is a barrier to international growth for 72% of online businesses. In the US, interest and penalties on uncollected sales tax can easily exceed 30% of the sales tax that was due. Vertex's 2025 tax data puts the number of US sales tax jurisdictions above 12,400.

The trap is comparing only the percentage fee. It misses the hours you would spend on SaaS sales tax compliance, registrations, filings, refunds, and customer questions. Count the hours, not just the dollars, because a solo operator has no headcount to absorb that work. If you would rather not own that work, the premium is buying time.

List recurring tasks you would stop doing, with a rough monthly hour estimate for each.

The table turns revenue into a decision

Use the five-row cost table to place your revenue level and the type of work you would stop doing. The rows are prompts, so read them as your own situation, not as a price quote.

  • Current revenue level: write the all-in rate, the premium, and the hours you already spend on tax, refunds, or VAT.
  • Next revenue level: note the fee difference and whether it removes recurring monthly work, not just a filing.
  • Revenue level with international sales: compare the fee difference with the hours you would otherwise lose.
  • Revenue level with a standing compliance load: record the premium and the recurring tax and refund work it removes.
  • $500,000 ARR: the estimated annual fee difference between Stripe Managed Payments and Paddle or Lemon Squeezy is about $7,000 to $25,000.

Apply the hours-of-compliance break-even rule: pay the premium when the fee difference is less than the hours it removes, valued at the rate you would charge for that work. Write the hours you would save, then compare them to the fee difference before you switch.

The call is a margin decision

Make the call by asking what the premium does to your margin and your calendar. If the fee difference is small, keep the cheaper setup and spend the saved money on product or support. If the fee difference is large, you are buying back time, so the decision should show a clear reduction in recurring tax and refund work.

Write a short decision note: the fee difference, the hours saved, the risk you no longer own, and the next revenue level where you would revisit the choice. Revisit it when your revenue level changes, because the fee difference moves with every transaction. If you are close to the next revenue level, run the hours rule again before you switch.
